Using the 5P Approach as a whole school/organisational framework
The 5P Approach Organisational Chart
What is the 5P Approach Organisational Framework?
The 5P Approach Organisational Framework offers a flexible model which reflects the philosophy & principles of the 5P Approach. The inbuilt flexibility enables organisations to develop the 5P Approach within their organisation at a speed and level which supports their specific circumstances (i.e. type and size or organisation, cohort of pupils etc.) whilst retaining and using the 5P model. The 5P Approach Framework provides a range of tools, resources and materials designed to support the development of the 5P Approach at the organisational level and embed the 5P Approach Framework.
Why use the 5P Approach as a whole organisation model?
First step- setting out your GREEN Zone
Taking a “top down” approach, the 5P Approach framework is represented at the whole school level, refined and further specified at the group level (e.g. a classroom) and further refined and personalised for the individual. This always begins with looking at the organisational GREEN Zone. As a first step, this sets out existing best practice, recording all the resources and strategies currently used to meet needs within the organisation.
The second step is to examine what is already in place at AMBER and RED, creating a visual representation of the 5P Approach Organisational Framework, the 5P Approach Organisational Chart
How to start? – beginning the 5P process
Using the 5P Approach Organisational framework follows the same 5P problem-solving process as used with individuals and groups i.e.
Where are we now? (PROFILE)
Using the 5P Approach Organisational Chart to support the process, audit, identify and agree the key elements of the organisational framework i.e. whole school approaches, strategies and resources at GREEN. Once your GREEN Zone is established it is time to add resources and practices at AMBER and at RED as they currently are within your organisation (where are we now?). The final step is to Identify “where you would want to be” (increasing your GREEN Zone). The 5P Framework has practical tools which can be to support this process.
What do we start with? (PRIORITISE)
Using the information from “where do you want to be?” the 5P Approach Priority sheet and process is used to set out RED (urgent), AMBER (can wait) and GREEN (already or nearly there and “quick wins”) priorities for the whole organisation.
What do we need to do and what is getting in the way? (PROBLEM-ANALYSIS AND PROBLEM-SOLVING)
Using the information from the first two activities and looking at RED AMBER and GREEN separately, the next step is to identify what needs to be done, what the barriers are and how to overcome them (next steps).
Action planning & implementation (PLANNING)
This begins with action planning for your RED priorities (double prioritise starting with the most pressing) and also for your GREEN priorities (quick wins). Create an action plan using your usual action planning format. Get started!
5P Approach Outcome Measures and Monitoring Resources: The 5P Approach outcome measures and monitoring process can be used to support and monitor the action planning and implementation process. These materials cover two main aspects - the outcomes for the practitioner and the outcomes for the individuals. The two are inextricably linked, without the increased knowledge, confidence, skills and consistency of approach of the practitioners involved, behaviour change will not be successful. The most important aspect of behaviour intervention is prevention (the GREEN zone) and, in schools and homes the responsibility of prevention falls, particularly in the early stages, mainly with the adults working with the individuals who experience difficulties.
NB: Compliance
Although a flexible model which can be adapted to meet the needs of an organisation, any organisation intending to use and embed the 5P Approach at the organisational level must work within the 5P Approach Framework and make use of the 5P Approach materials. As a framework rather than a narrowly defined approach, the 5P Approach can be used alongside most other approaches with the proviso that the overall philosophy is not compromised. Indeed the 5P model actively encourages the use of specific approaches and strategies tailored to the individuals in the provision and which should be included within an organisation’s GREEN Zone. Any organisation adopting the 5P Approach Framework must demonstrate that they work in line with the 5P Approach philosophy and make use of the main 5P Approach resources and materials. This includes:
• Placing the focus on prevention
• The creation of an organisational GREEN Zone
• Understanding the individual and using this to shape the approaches, strategies and resources used (personalisation)
• Placing a focus on empowering the individual and developing their independence
• Adopting the use of the GREEN, AMBER and RED traffic light hierarchy to identify levels of behaviour and type of strategy used
• A focus on providing a consistent approach and a team approach.
• Making use of the 5P Approach materials and resources (see below)
The 5P Approach materials are designed to support the use of the 5P Approach and reflect the 5P model. There is no requirement for organisations to make use of ALL the 5P Approach materials and these can generally be used flexibly and according to need. However the following key materials must be used:
• The Priority Sheet • The ABBBC sheet • The Working with Me pack • The 5P Approach Organisational Chart

Why use the 5P Approach as a whole organisation model?
- It creates a common framework across whole organisation – consistency and continuity of approach
- It places an emphasis on prevention, meeting needs and developing skills
- It uses a framework which is simple and easy to use and follow
- It provides a flexible model which can be tailored to the organisation’s needs and incorporates ALL approaches and resources used
- It provides a model to record and share existing best practice within the organisation
- It provides a model to build and expand on existing practice
- It works!
